About:

We are a rapidly growing boutique law firm in Austin, Texas and are looking for a well- organized Executive Assistant to support our senior associate. As a firm, we exist in a very unique niche—we have big law/big accounting firm clients, but we operate like a small firm. Because our practice is small and very close knit, we are looking for someone who will fit into our culture. Our clients are mostly ultra-high net worth, and our work involves structuring the personal, estate, tax, and business aspects of their lives. Our practice is planning, problem solving, and reporting focused.

This position requires someone who can master new skills quickly and is clear, concise, and professional in their communications. The position also requires someone who is incredibly organized, calm under stress, and willing to support Mr. Bales with a positive attitude.

Persons who thrive at our firm are those who love detail-orientated problem solving, organizing, and facing new challenges each day. They must also be loyal, discrete, punctual, and professional.

Preferred Candidates:

Individuals with high energy who have at least 5 years-experience working as an executive assistant (legal firm experience not required). College degree or associate degree, preferably in English or Journalism, a plus.

Responsibilities:

  • Provide administrative assistance, such as writing and editing e-mails, memos, and written communications, and preparing Mr. Bales for his meetings and tasks each day.
  • Filter and prioritize client visits and phone calls and assist with all forms of scheduling, including travel.
  • Maintain firm responsiveness to client needs, including facilitating preparation for client meetings, drafting follow-up correspondence, and assisting with new client onboarding.
  • Develop relationships with the clients and field calls on Mr. Bale’s behalf.
  • Assist with electronic and paper filing.

Requirements:

  • Valid authorization to work in the U.S.
  • Ability to relocate to Austin, Texas.
  • Exceptional knowledge of Microsoft Office, particularly Word, Excel, and PowerPoint.
  • Excellent time management and project management skills.
  • Exceptional verbal and written communication skills.
  • Strong organizational skills and ability to multitask.
  • Proactive and confident, but able to take and follow direction.
  • Unwavering attention to detail and laser focused on the tasks at hand.
  • A desire and willingness to serve others.
